Booking Conditions
When you book an experience with Abenteuer Travel Club, you confirm that all information provided — names, passport details, dietary needs, medical conditions, and contact details — is accurate and complete. It is your responsibility to ensure passports, visas, and any required permits are valid for the duration of your journey.
A booking is only confirmed once we have received your deposit or full payment as outlined in your itinerary, and you have received written confirmation from our team. Provisional holds on accommodation or activities are time-limited and may be released if payment is not received within the stated window.
Group, corporate, and student bookings may carry additional conditions specific to that itinerary, which will be shared with the lead booker in writing and form part of these terms.
Payment Terms
Unless otherwise agreed in writing, a non-refundable deposit (typically 30% of the total tour cost) is required to secure your booking, with the balance due no later than 30 days before departure. For bookings made within 30 days of travel, full payment is required at the time of booking.
Payments can be made securely via our payment partner, Pesapal, or by bank transfer using the details provided in your invoice. All prices are quoted in the currency stated on your itinerary and are subject to change before a booking is confirmed, due to factors such as park fee revisions, fuel surcharges, or exchange rate fluctuations.
Once your itinerary is confirmed and deposit received, the price is locked in — except where third parties (airlines, park authorities, government bodies) impose mandatory increases beyond our control.
Cancellations & Changes
Cancellations must be submitted in writing to info@nileabenteuer.com. Cancellation charges are calculated from the date we receive your written notice, and typically apply on a sliding scale:
- More than 60 days before departure: deposit forfeited
- 30–59 days before departure: 50% of total cost
- 15–29 days before departure: 75% of total cost
- Less than 15 days before departure: 100% of total cost
Where a booking involves international flights, gorilla permits, fixed-departure safaris, or specialist accommodation, the supplier's own cancellation policy may apply instead and can be stricter than the scale above. We will always disclose this at the time of booking.
Changes to dates, itineraries, or traveller names after confirmation may incur an amendment fee plus any costs charged by our suppliers, and are subject to availability.
Refunds
Where a refund is due — whether from a cancellation within the permitted window, an itinerary change initiated by us, or a service that could not be delivered as booked — it will be processed to the original payment method within 14 business days of approval.
Refunds do not apply to amounts already paid to third-party suppliers where their own non-refundable terms apply (e.g. permits, charter flights, certain lodges), nor to costs you incur independently such as visas, vaccinations, or travel to a departure point.
We strongly recommend that all travellers take out comprehensive travel insurance covering trip cancellation, curtailment, medical evacuation, and personal belongings, as this is often the most practical way to recover costs in unforeseen circumstances.
Liability & Insurance
Abenteuer Travel Club acts as an organiser and curator of experiences delivered by trusted partners — lodges, drivers, guides, airlines, and activity operators. While we select these partners carefully and hold them to high standards, we are not liable for loss, injury, delay, or damage arising from circumstances beyond our reasonable control, including but not limited to weather, road conditions, political events, wildlife behaviour, or third-party supplier failures.
Travellers participate in activities such as game drives, hikes, water-based excursions, and cultural visits at their own risk, and are expected to follow the safety guidance of guides and operators at all times. We require all travellers to hold valid travel insurance covering medical emergencies, evacuation, and personal liability for the full duration of their trip — proof of cover may be requested before departure.
Nothing in these terms limits any liability that cannot be excluded under applicable law, including liability for death or personal injury caused by our proven negligence.
Privacy Policy
Data We Collect
To plan and deliver your journey, we collect information you provide directly, such as your name, email address, phone number, postal address, passport and visa details, dietary and medical information relevant to your trip, and payment details processed through our payment partner.
We may also collect information automatically when you interact with our website or communications, such as general device and browser information used to improve our site's performance and security.
How We Use Your Data
Your information is used to:
- Plan, book, and manage your itinerary, accommodation, transport, and activities
- Communicate with you about your booking, including confirmations, changes, and travel advisories
- Process payments and maintain accurate financial records
- Meet legal, immigration, and park authority requirements for travel within East Africa
- With your consent, share offers, seasonal itineraries, and travel inspiration relevant to your interests
We do not use automated decision-making or profiling that produces legal or similarly significant effects on you.
Data Storage & Retention
Your data is stored securely using industry-standard safeguards, with access limited to team members who need it to deliver your trip. We retain booking and financial records for as long as required by applicable tax and accounting laws, and personal travel preferences only for as long as needed to support future enquiries or as you direct us.
You may ask us to delete your data at any time, subject to our legal obligation to retain certain records, such as financial transactions, for statutory periods.
Third-Party Sharing
We share the minimum information necessary with trusted partners who help deliver your trip — including lodges, ground transport operators, guides, airlines, park authorities, and our payment processor, Pesapal. These partners are only given the details required to provide their part of your journey, such as your name, travel dates, and any relevant medical or dietary information.
We do not sell your personal information to third parties. Information may be disclosed where required by law, such as to immigration or park authorities, or to protect the safety of travellers and staff.
Your Rights & Contact
